Help desk and everyday IT problems

Restart it, close programs you are not using and check for pending Windows or macOS updates. If it is still slow, it usually means a full disk, too little memory, malware or a failing drive. Our help desk can diagnose it remotely in minutes.
Common causes are outdated drivers, failing hardware, overheating, malware or a corrupted update. We check event logs and hardware health remotely and fix or replace what is failing.
If you use Microsoft 365 or Google Workspace, use the ‘Forgot password’ link and verify with your phone. If self-service is not enabled or you are locked out, call our help desk and we verify your identity before resetting it.
Yes. We reset Microsoft 365 passwords after verifying your identity, then help you re-sign in on your computer, phone and Outlook. We also set up self-service password reset so it is faster next time.
The most common causes are an expired password, a full mailbox, a blocked account after suspicious sign-ins, or an Outlook profile problem. Most are fixed remotely within one support session.
Check your junk folder and quarantine first. Messages may be blocked by spam filtering, the sender’s domain may be misconfigured, or your mailbox may be full. We review the message trace and release or fix the cause.
Usually your domain is missing SPF, DKIM or DMARC records, or your sending IP is on a blocklist. We configure these records correctly and monitor your domain reputation.
Install Outlook or Gmail, sign in with your work email and approve the MFA prompt. If your company uses device management, the app configures itself. We can walk you through it in a few minutes.
Restart the router or access point, move closer to it and check whether other devices are affected. Persistent drops usually mean interference, an overloaded access point or aging equipment. We survey and fix office Wi-Fi in Virginia, Maryland and DC.
Slow office internet is usually a saturated connection, a misconfigured firewall, old cabling or too many devices on one access point. We measure throughput, find the bottleneck and recommend the fix.
Check paper, toner and that it is powered on and on the same network. Restart the printer and your computer, then clear the print queue. If it still fails we reinstall the driver remotely or replace the device.

Never throw a computer away with the drive inside. We wipe drives to NIST standards or destroy them, provide a certificate of destruction and recycle the hardware responsibly.
Every four to five years for desktops and laptops, and five to six years for servers. Beyond that, failures, slowdowns and unsupported operating systems cost more than replacement.
Restart it at least weekly so updates install, but leaving it on overnight is fine and lets us run patches and backups outside working hours. Lock it when you leave your desk.
Windows and macOS release security updates monthly and critical fixes as needed. Frequent prompts mean updates are pending; we schedule them for after hours so they do not interrupt you.
A restart fully clears memory and applies updates. A shutdown on modern Windows uses fast startup and may not. When something misbehaves, restart rather than shut down.

Microsoft 365, Google Workspace and cloud apps

Microsoft 365 is Microsoft’s subscription suite: Outlook email, Word, Excel, PowerPoint, Teams, OneDrive and SharePoint, plus security and device management on business plans. We license, migrate, secure and support it.
Most small businesses choose Business Standard for the Office apps and Teams, or Business Premium when they need Intune device management, Defender and advanced security. We recommend a plan based on your compliance needs.
Yes. We migrate from Gmail, GoDaddy, Exchange, IMAP or another tenant with minimal downtime, moving mail, calendars and contacts and reconfiguring every device.
Both are excellent. Microsoft 365 fits businesses that live in Outlook, Excel and Teams or need Windows device management; Google Workspace suits teams that prefer Gmail and browser-based collaboration. We support both.
SharePoint is Microsoft 365’s document management and intranet platform. Teams use it to store shared files, control permissions and build department sites. We set up structure and permissions so data stays organized and secure.
OneDrive is personal cloud storage inside Microsoft 365. Files are encrypted and synced across devices. It protects against a lost laptop but not against deletion or ransomware, so we add separate backup.
Teams is Microsoft’s chat, meeting and calling app. With Teams Phone it can replace your office phone system. We deploy, secure and support Teams for businesses of all sizes.
Yes. Teams Phone provides business phone numbers, auto attendants, call queues and voicemail through Teams on computers, phones and desk handsets. We port your numbers and set it up.

Security basics for employees and owners

Phishing is a fake email, text or call designed to trick you into clicking a link, opening an attachment or sharing a password or payment. It is the starting point for most breaches at small businesses.
Check the sender’s actual address, hover over links before clicking, and be suspicious of urgency, unexpected attachments, requests to change payment details or messages that do not match how that person normally writes. When in doubt, call the sender.
Disconnect from Wi-Fi or unplug the network cable, do not enter any credentials, and call our help desk immediately. We scan the device, reset exposed passwords and check for suspicious sign-ins.
Ransomware is malware that encrypts your files and demands payment for the key. It spreads through phishing, weak remote access and unpatched systems. EDR, MFA, patching and protected backups are the defense.
We recommend against paying. Payment does not guarantee recovery and may be illegal if the group is sanctioned. With tested backups you restore instead, and we guide you through insurance and reporting.
At least 14 characters, unique to each site and stored in a password manager. A passphrase of several unrelated words is easier to remember and harder to crack than a short complex password.
Yes. A business password manager gives every employee unique, strong passwords, shares credentials securely and removes access instantly when someone leaves. We deploy and manage it.
MFA asks for a second proof of identity, usually a code from an authenticator app or a hardware key, when you sign in. It blocks nearly all password-based account takeovers.
It is far better than nothing, but authenticator apps and hardware keys are stronger because text messages can be intercepted or redirected through SIM swapping. We move clients to app-based MFA.
A VPN encrypts traffic between a device and your network. It is useful for reaching office resources remotely, but modern zero-trust access and cloud apps often reduce the need. We recommend the right approach for your setup.
Treat it as untrusted. Use your phone’s hotspot when possible, keep your VPN or zero-trust client on, and never install software or enter passwords on unfamiliar captive portals.
You need endpoint protection, but traditional antivirus is no longer enough. Managed EDR detects behavior, not just known files, and lets us isolate an infected device within minutes.
Antivirus matches known malicious files. EDR watches how programs behave, records activity for investigation and can automatically contain a device. Insurers and compliance frameworks now expect EDR.
No. Macs face malware, phishing and credential theft like any device. We protect Macs with EDR, encryption and management just like Windows PCs.
Short training at onboarding and at least quarterly afterward, with monthly phishing simulations. Frequent, brief training changes behavior more than an annual hour-long session.
Manipulating people rather than systems: a caller pretending to be IT, a fake invoice from a ‘vendor’, or a text from the ‘CEO’ asking for gift cards. Training and verification procedures stop it.
An attacker gains access to or impersonates a business email account to redirect payments or steal data. It causes more financial loss than ransomware. MFA, email security and payment verification rules prevent it.
Call the requester at a known number, never one from the email, and require two people to approve any change to payment details. Put the rule in writing so no one feels pressured.
Only with controls: MFA, app protection policies, encrypted storage and the ability to wipe company data remotely. We set up bring-your-own-device policies that protect data without touching personal files.
Encryption scrambles data so a lost or stolen device cannot be read. Windows BitLocker and macOS FileVault provide it; we turn it on for every managed device and store recovery keys securely.
A firewall controls traffic between your network and the internet, blocking unwanted connections and inspecting for threats. We install and manage business firewalls with content filtering and intrusion prevention.
Dark web monitoring alerts us when credentials tied to your domain appear in breaches. You can also check haveibeenpwned.com. If found, change the password and enable MFA immediately.
A security model that verifies every user and device on every request instead of trusting anything inside the network. In practice: MFA everywhere, least-privilege access, managed devices and continuous monitoring.
Give people only the access their job requires. It limits how far an attacker or a mistake can spread. We review permissions quarterly and remove what is not needed.
Keep the platform and plugins updated, use strong admin credentials with MFA, add a web application firewall, run backups and monitor uptime. We host and secure business websites.

Backups and disaster recovery

Servers and shared files at least daily, and critical systems every few hours. Microsoft 365 and Google Workspace should be backed up daily. We set frequency by how much data you can afford to lose.
Keep three copies of your data, on two different types of storage, with one copy off-site or in the cloud. It protects against hardware failure, theft, fire and ransomware at the same time.
Backup is a copy of your data. Disaster recovery is the tested plan and systems that get your business running again within a set time after an outage, breach or disaster.
Recovery time objective is how long you can be down; recovery point objective is how much recent data you can afford to lose. They determine how often we back up and how fast we can restore.
It can if backups are on the same network with the same credentials. We use immutable, off-site copies that attackers cannot alter or delete.
By testing restores. We verify backup jobs daily and run scheduled restore tests so you know recovery works before you need it.
It is better than nothing but fails the 3-2-1 rule: it is usually connected to the same computer, can be encrypted by ransomware and is rarely tested. Use it alongside managed cloud backup, not instead of it.
Yes. Cloud providers protect their systems, not your data from deletion, sync errors, ransomware or insider mistakes. Separate backup with independent retention is essential.
At least 30 to 90 days of daily versions for most businesses, plus longer retention for records governed by HIPAA, tax or contract requirements. We set retention to match your obligations.
Planning how the business keeps operating during an outage: alternate work locations, communication trees, priority systems and recovery steps. Disaster recovery is the technology part of it.

Networks, Wi-Fi and cabling

A standardized, documented cabling system for a building: Cat6 or Cat6a runs from every workstation and device to a labeled patch panel in a network rack. It makes moves and troubleshooting fast and reliable.
Cat6 supports 1 Gbps to 100 meters and 10 Gbps over shorter runs. Cat6a supports 10 Gbps to the full 100 meters and is better shielded. For new installs we recommend Cat6a for longevity.
Between buildings, between floors or wiring closets, for runs over 100 meters and for high-bandwidth backbones. Fiber is immune to electrical interference and future-proofs the core of the network.
It depends on square footage, walls, device count and use. As a rule of thumb one enterprise access point per 1,500 to 2,500 square feet, placed after a site survey. We survey before installing.
Wired is faster and more consistent for desktops, phones, printers and conference rooms. Wi-Fi is for laptops and mobile devices. Good offices use both.
A switch connects wired devices in your office to each other and to the router. Managed switches let us segment traffic, prioritize voice and video and troubleshoot remotely.
Dividing your network so guests, cameras, printers and sensitive systems are separated. If one segment is compromised the others stay protected. It is required for PCI DSS.
