Prepare your requirements
Reception, scheduling, clinical records and imaging depend on more than one workstation. Document which applications and storage locations are involved and which vendors support them. For Dentrix, DEXIS or any other clinical product, confirm requirements and supported configurations with the vendor for your installed version before making changes.
Prepare a coordinated support handover
Record the practice manager, approved IT contacts and application support routes. Agree who may authorize changes and when work can happen around appointments. Keep a record of licenses and account ownership. Do not send patient records, passwords or administrator credentials through a general website enquiry.
Test more than the backup job
A completed backup job is not a complete recovery test. Agree a vendor-supported test using approved data and a suitable isolated environment. Check whether the restored practice database opens, linked images can be found and the intended users can access the workflow. Have an authorized practice representative validate the result.
Define access and security responsibilities
Identify how staff join, change roles and leave; which users need administrative access; and who reviews vendor access. Discuss workstation maintenance, network separation, account protection and incident contacts. Technical services support the practice’s security program, but do not by themselves establish or guarantee HIPAA compliance. Confirm obligations and agreements with your organization’s responsible advisers.
